Privacy notice
How we handle business contact details when we get in touch with firms about Fieldbook, and how to tell us to stop.
Last updated: DATE PLACEHOLDER
Who we are
Fieldbook is the controller of the personal data described here. Our company details are:
COMPANY DETAILS PLACEHOLDER: registered company name, company number and registered office address.
You can contact us about anything in this notice at CONTACT_EMAIL.
What we collect
We only collect business contact details for people in their work role. That means:
- your name and job title
- the firm you work for, its address and website
- your work email address and work phone number
- a record of any messages between us, including whether you have asked us not to contact you
We do not collect anything about your private life.
Where we get it
We find business contact details in places where firms and their staff publish them for business purposes, such as company websites, Companies House, trade directories and professional networking profiles. If you contact us or book a call, we also keep the details you give us.
SOURCES PLACEHOLDER: confirm or edit the list of sources above.
Why we use it, and our lawful basis
We use these details to contact firms whose work fits what we offer, to reply when you write back, and to arrange a call if you ask for one.
Our lawful basis under UK GDPR is legitimate interests (Article 6(1)(f)). Our interest is telling firms in building services, HVAC and small manufacturing about a service that relates to their work. We think this is fair to you because we only use details connected to your job, we keep our messages relevant to your firm's work, and you can stop them at any time with a one-line reply.
We email people at limited companies and limited liability partnerships. Under the Privacy and Electronic Communications Regulations, we do not send marketing emails to sole traders or ordinary partnerships unless they have agreed to hear from us.
How to opt out
Reply to any email from us with "stop", or with anything that tells us you don't want to hear from us, and we will not contact you again. You can also email CONTACT_EMAIL.
When you opt out, we keep your name, email address and the date you asked, on a do-not-contact list. That is the only way to make sure we don't contact you again by mistake.
Who we share it with
We do not sell your details or share them for anyone else's marketing. We use a small number of service providers to send email, manage contacts and book calls. They handle your details only on our instructions.
PROCESSORS PLACEHOLDER: list the providers (for example your email, CRM and booking tools) and where they process data. If any are outside the UK, say how the transfer is covered.
How long we keep it
If we don't hear back from you, we delete your details after RETENTION PLACEHOLDER. If we start working together, we keep your details for as long as we work with your firm. Do-not-contact records are kept for as long as we contact firms, so that your request keeps working.
Your rights
You have the right to:
- ask for a copy of the details we hold about you
- ask us to correct them
- ask us to delete them
- ask us to restrict how we use them
- object to us using them, including an absolute right to object to direct marketing
To use any of these rights, email CONTACT_EMAIL. We will reply within one month.
Complaints
If you are unhappy with how we have handled your details, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
If we change how we use business contact details, we will update this page and the date at the top.
